3. How We Collect Your Data

3.1

Directly from you when you complete a membership application form, book a class, submit an enquiry via our website, or telephone us.

3.2

Automatically via cookies and similar technologies when you browse our website, where you have consented to their use.

3.3

From third parties such as our class booking system (FitSense) or payment processing providers.

4. Legal Basis for Processing

We only process your personal data where we have a lawful basis to do so. Depending on the purpose, the legal basis will be one or more of the following:

4.1

Contract — processing is necessary to perform your membership agreement, process payments, and provide the services you have requested.

4.2

Legitimate interests — we may process data to manage and improve our services, maintain security, and communicate with you about matters relevant to your membership, provided this does not override your rights.

4.3

Legal obligation — where processing is required to comply with a legal or regulatory obligation, for example financial record-keeping requirements.

4.4

Consent — for marketing communications and for processing special category health data, we rely on your explicit consent. You may withdraw consent at any time by contacting us.

5. How We Use Your Data

We use your personal data for the following purposes:

5.1

To administer your membership, process payments and renewals, and manage cancellations or suspensions.

To allow you to book and attend classes and use our facilities.

5.3

To respond to your enquiries, complaints, and requests.

5.4

To send you important information about changes to our services, terms, pricing, or opening hours.

5.5

To send you marketing communications about our classes, promotions, and events, where you have given consent. You may opt out at any time.

5.6

To ensure the safety and security of our members, staff, and premises.

5.7

To comply with our legal and financial obligations.

6. Sharing Your Data

We do not sell your personal data. We may share it only in the following circumstances:

6.1

Service providers — third parties who process data on our behalf, such as our booking system provider (FitSense), payment processors, and IT support. All are bound by data processing agreements and may only use your data as instructed by us.

6.2

Legal requirements — where we are required to disclose data by law, court order, or regulatory authority.

6.3

Debt collection — where unpaid membership fees are referred to an agency, as described in our Membership Terms & Conditions.

7. How Long We Keep Your Data

7.1

Membership records are retained for 6 years after the end of your membership to comply with financial and legal obligations.

7.2

Website enquiries and communications are retained for up to 2 years.

7.3

Health data is retained only for the duration of your active membership and deleted promptly on termination unless a longer period is required by law.

7.4

Marketing consent records are retained until you withdraw consent.

8. Your Rights

Under UK GDPR you have the following rights regarding your personal data:

8.1

Right of access — you may request a copy of the personal data we hold about you (a Subject Access Request).

8.2

Right to rectification — you may ask us to correct inaccurate or incomplete data.

9. Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, destruction, or alteration. Access to personal data is restricted to staff and contractors who require it to carry out their duties. All third-party processors are required to maintain equivalent security standards.

10. Cookies

Our website uses cookies to improve your browsing experience and, where you consent, to analyse site usage. For full details of the cookies we use, how they work, and how to manage your preferences, please read our Cookie Policy.
